If you wish Property Management 4U to advertise your property through our website, we will visit your Spanish rental property and take photographs to advertise your property on our website www.property-management4u.com as well as on facebook and other local outlets.

OUR COMPLETE PROPERTY RENTAL MANAGEMENT SERVICE

Our job will then involve (1) dealing with enquiries from your clients; (2) keeping records of all bookings taken, availability charts/calendars; (3) taking deposits and payments and banking them for you; (4) holding damage deposits (if appropriate) until we have checked your property and releasing the deposit back to your client.

We will also issue your client with directions to your property, arrival instructions (should they be making their own way to your property) and a holiday letting agreement sheet.

Before signing any contracts, Property Management 4U would like you, the client, to make sure that depending on the number of bedroom(s)/occupants an acceptable level of towels and linen is in place for the rental season. Also we request a full up to date list of the contents of your property.

If you require towels or linen to be purchased this can be sourced locally at a nominal cost on top of the purchase price. We would suggest the following levels of towel and linen supplies:

Keeping to the suggested levels will enable all changeovers to be completed with ease.

PROPERTY RENTAL FEES

Our fees for rental properties (if you have a management contract with us) are 15% of the holiday rental
If you require rentals only (without a management contract) our fee will be 20% of the rental.
Owners must inform us immediately of any bookings taken by them, or any periods they require for themselves.

Property Management 4U will automatically take bookings for any dates that are known to be free, and will inform you immediately when we have taken any reservations.

Once Property Management 4U has taken a booking deposit, this will be deemed as a confirmed booking and the booking cannot be cancelled by the owner at a later date.

If the owner refuses to honour bookings already taken by Property Management 4U, they will be required to pay compensation to the customer and Property Management 4U, to the value of the payments made and any additional costs incurred in arranging alternative accommodation for the booking.

 

Key holding (260€ per year, 5 euros a week )

Keys are kept in a secure key safe and each set of keys are tagged with client's property and reference number.

We provide a key holding service whereby your property is checked every two weeks for security; we also open the windows to let air circulate around the property, humidity can cause all sorts of problems if not properly addressed.

Three sets of keys are held, should either you or your guests lose a set, your property can be accessed with the minimum of fuss.

Call outs

We can also attend your property should any outside agent/contractor require entry at a charge of 25€ for one hour (thereafter the cost will be 20€ per hour).

All lost keys will be invoiced to the person who has lost the key plus time and labour of 15€ + key cost.

All outside contractors we use to attend to your property will be qualified tradesmen who have done work for us competently in the past.

Spring cleaning –usually done at the beginning of the rental season, May time.

Time to get ready

This involves bottoming the property i.e. a comprehensive clean of the whole property, electrical goods will be checked, checking all lights work, light shades, windows, curtains, carpets (if fitted) are cleaned, checking toilets flush correctly, and all terraces and patios will be cleaned.

Routine maintenance

Painting, plumbing inside or out, gardening as required, windows cleaning, servicing any appliances, repairing any broken furniture (all routine maintenance will be agreed before commencement).

Security grills

Should you need to have any fitted, we can arrange for them to be measured and fitted to suit. All our security grills are available in black or white and are powder coated.
We can also fit window and patio locks for your property for extra security from 25€ per window.
Painting of existing ironwork can also be carried out.

Air conditioning

Air conditioning can be supplied and fitted. We can also fit units supplied by youselves. All fitting of air conditioning units is carried out by qualified air conditioning engineers.

Electricity meters

Electricity meters can be fitted to your property. This could help to regulate the over use of the air-conditioning. Our electrician can set the meter to cover the cost, usually 3€ for five hours, but that is up to you.

Car hire

Car hire can be arranged for your guests with a local car hire company for the duration of their stay. Prices vary dependant on area and season.

CONTRACTS

The Annual Property Management Agreement will be sent to you as soon as the contract has been agreed by both parties and signed by both parties.

Payments:

Key holding: Yearly 260€ in advance or 6 monthly at 140€

Housekeeping: Unless paid by your client upon arrival, invoices to you will be monthly and settlement is by return, or can be deducted from deposit if applicable.

Meet and Greet: Invoices to you will be monthly and settlement is by return.

Call outs: Invoices to you will be monthly and settlement is by return.

Welcome Pack: Paid by your client upon arrival.

Airport Service: Paid in full by client when picked up at the airport on arrival.
Rental fees Invoices to you will be monthly and settlement is by return.

All other monies to be paid by return upon receiving invoice.
Payments will be within 7 days of receipt or a 10% surcharge will be added.
